Welcome to Part 2 of the “Webinars That Win” series! When I ran my MSP, webinars quickly became one of the most powerful tools in our marketing toolkit. Now, as a cloud provider serving MSPs, I see even more clearly how impactful they can be if you follow through the right way!
Here’s the truth: it’s not the webinar itself that closes the deal. It’s the follow-up. You can deliver the best presentation in the world, but if prospects don’t know the next step, they won’t take it. And that’s why so many MSPs miss out.
Most treat webinars like a one-night stand. They show up, impress, and then walk away… expecting the prospect to chase them. But prospects are busy. They’re distracted. They’re skeptical. They aren’t going to chase you: you need to guide them forward!
The Follow-Up Formula
Here’s the exact system I used (and still recommend) to turn attendees into clients.
Step 1: The First Email (within 24 hours)
Don’t wait a week! Send an email the very next day. But don’t send the same email to everyone. We broke ours into three buckets:
- Attended and stayed until the end (your hottest leads!).
- Attended but left early or arrived late.
- Registered but didn’t attend.
Each group got a slightly different message. The “stayed to the end” crowd got the replay link plus a call to action for a 15-minute strategy call. Those who left early got a kind nudge: “Here’s what you missed.” And the no-shows? They got the recording with a reminder that it wasn’t too late to catch up.
Step 2: The Quick Version
On day two, I’d send a short email with bullet points covering the main webinar takeaways. Perfect for the people who didn’t watch the replay but still need the value.
Step 3: The Personal Touch
Around day three, I’d send a plain-text, one-to-one email. No marketing fluff. Just: “Hey, wanted to follow up. Was there anything that stood out to you?” Simple and personal.
Step 4: The Story Email
By day five, it was time to share a story. Maybe a client who implemented just one idea and saw a big change. The goal here wasn’t a flashy case study: it was to show proof that action leads to results. Prospects don’t want to be the first; they want to know someone else went first and succeeded.
Step 5: The Final Nudge
On day seven, I’d send a last call: “Still thinking about [webinar topic]? Here’s your chance to grab a strategy session before my calendar fills.” It was short, direct, and effective.
Don’t Forget the Phone!
Here’s a secret: most MSPs never pick up the phone. That’s why you should. If someone attended the full session, give them a call. Just say thanks for attending, ask if they had any questions, and offer to dive deeper. It’s not salesy: it’s relationship-building that sets you apart instantly!
Avoid These Common Mistakes
I’ve seen too many MSPs trip up by:
- Waiting too long to follow up.
- Sending one replay email and stopping.
- Forgetting to add a call to action.
- Skipping the phone call altogether.
Following up doesn’t make you desperate. It makes you professional! And when done consistently, it makes you money.
The Bottom Line
Webinars are powerful, but they’re just the beginning. The
fortune is in the follow-up. With a clear system, you can turn attention into
appointments and appointments into paying clients. And once you’ve run the
formula a few times, it scales beautifully!

follow-up emails. Write out what you’d say when you call. Put the system in
place now before your next webinar and you’ll thank yourself later!
