Do you ever feel completely drained by the end of the day? I want to talk about something that destroys more MSPs than bad tools, weak technicians, cybersecurity threats, or even competition. It is something that a lot of MSP owners never even realize is happening. It is called decision fatigue.
I came across a blog that Arlan Sorensen shared recently, and it explains why a lot of MSP owners stay stuck. Most MSP owners are smart! You do not survive in this industry for years without being intelligent, resourceful, and hardworking.
Despite that, MSPs still delay marketing. They hold on to bad clients. They undercharge and overwork themselves. Why? It’s because they are mentally exhausted from making decisions all day long.
If you own an MSP, you know exactly what I am talking about. Before 9 a.m., you have probably already had to make 20 important decisions. You do that all day long, every day for years. Eventually, your brain starts fighting against you.
The Quality of Your Decisions
The MSPs that scale and get larger are not always the best MSPs out there. They are the MSPs that learn how to protect their mental energy. This allows them to make better decisions consistently. Trust me on this: the quality of your MSP will never rise above the quality of your decisions.
Experts estimate that we make over 35,000 decisions a day. Wow! When you hear that number, it sounds ridiculous. But think about what running an MSP actually looks like:
- You are constantly deciding who gets priority.
- You decide what needs to get delegated.
- You decide what alerts need attention right away.
- You decide what project needs to get delayed so another can get done.
- You decide whether a prospect is worth chasing.
- You decide whether an employee is really working out.
Every single one of those decisions drains your energy. That is why some MSP owners can make smart business decisions all day long, and then they just flop on the couch when they go home. Their brain is just fried. Here is the dangerous part: as the volume of decisions increases, the quality of decisions decreases.
MSPs start making reactive decisions instead of intentional ones. You start saying yes to clients you should never take. You start discounting because you are tired. You stop following your sales process. You stop marketing consistently. Before long, you are not running the MSP anymore; the MSP is running you!
Simplicity and Standardization
This is one of the reasons we became such huge believers in standardization of processes and the cloud. Complexity creates exhaustion. Simplicity can help!
When we moved clients to standardized cloud environments, standardized onboarding, and standardized security, what happened? We reduced decisions. We reduced chaos. We reduced firefighting. That gave us more mental energy to focus on growth instead of being in survival mode.
A lot of MSPs think growth comes from adding more. Sometimes growth actually comes from removing things. Every exception becomes another future decision. Eventually, those decisions pile up until your brain simply cannot carry that load anymore.
The Enemy of Fear
The second enemy is fear. Fear keeps MSPs stuck, sometimes for years. It is the fear of raising your prices, firing bad clients, or hiring additional help. It is the fear of investing in marketing, making sales calls, running webinars, or moving clients to the cloud. Sometimes it is just the simple fear of saying no.
The dangerous thing about fear is that it disguises itself as being careful. A lot of times, it is really just procrastination. I have watched MSP owners spend years thinking about making a move. Meanwhile, the MSP down the street with half the talent makes the decision quickly and takes the business. Indecision is still a decision, and it is usually the most expensive one.
You do not always see the next door until you start walking. Some MSP owners want certainty before they move. Business just does not work that way! Growth happens because we move. Some of the biggest opportunities we ever came across came from decisions that felt uncomfortable at the time.
The Danger of Emotion
The third enemy is emotion. Emotions can override logic, and MSP owners have to deal with this constantly. Emotion causes MSP owners to hire out of desperation or fire out of anger. It causes them to discount out of fear or overreact to cybersecurity headlines. Emotion keeps toxic employees and toxic clients around way too long.
Emotion is expensive in business. The longer you own an MSP, the more emotional pressure you carry. If you do not learn how to separate emotion from decision making, it will eventually hurt your company. Some of the best MSPs are not emotionless people; they are just disciplined. They created systems that protected themselves from making emotional decisions in very stressful moments.
Building Systems for the Future
Anyone can stay calm when things are easy and simple. Not reacting emotionally every time something goes wrong is really hard to do. So what is the answer? You need to make important decisions before the emotional moment arrives!
You build rules, systems, standards, and processes. High-performing MSPs remove decisions before that stress hits. They have standard stacks and standard onboarding. They do things like cloud, which makes everything standard, including pricing and documentation. They reduce the number of decisions they have to make under pressure.
If they do not do that, everything is custom, reactive, and emotional. That is exhausting! One of the smartest things you can do as an MSP owner is ask yourself: what decisions can I eliminate permanently? Every eliminated decision gives you more energy to focus on growth.

- What are the consequences of this choice?
- What path does the decision put me on?
- Is this the right decision today for the future I want tomorrow?
Every decision either moves you towards the MSP freedom you are looking for or toward more chaos. You are in control of that.
My Challenge to You
Here is my challenge for this week. Find one area of your MSP that contains constant stress or repeated decision making and just remove it! Remove one thing that causes chaos so you do not have to think about it.
